Onboard as a Virtual Participant

This article explains how a legal entity can join the data space as a virtual participant under a managing participant.

A virtual participant is a legal entity that is represented and maintained by another active company in the data space. This provides a lighter onboarding path and avoids the need to set up full participation independently. As described in the overview, virtual participants do not require their own portal access, wallet, or EDC.

Before you start

Before beginning this onboarding path, make sure that:

  • your organization has agreed which active legal entity will act as your managing participant

In case you are unsure on what to enter on the website form, please choose any use case as the choice is not binding for a Virtual Participant.

Afterwards, you will need to validate your email and you will receive an invite as described here: https://userguide.cofinity-x.com/en/articles/162604-accept-your-portal-invitation (One time password and the path to register).

Complete the steps and mention which organisation you intend to be managed by.

This onboarding path is intended for legal entities that want to participate in the data space under centralized management instead of completing the full standard participation path on their own.

What happens in this flow

When onboarding as a virtual participant:

  • you enter your company data during onboarding

  • you select a managing participant

  • Cofinity-X reviews the request

  • the selected managing participant reviews and decides on the request

  • if the request is accepted, the managed relationship is created

Once the relationship is established, the managing participant can centrally maintain supported company information for your legal entity, including sites and addresses. The BPNL is created automatically and cannot be edited.

How to onboard as a virtual participant

1. Start the onboarding process

Begin the onboarding process using the invitation or registration path provided to your company.

2. Complete the Company Data step

Enter your legal entity information on the Company Data page.

Make sure the information is complete and accurate, as it will be used for validation and for setting up your legal entity in the data space.

3. Select a managing participant

On the Company Data page, choose the company that should manage your legal entity.

Only eligible companies that can act as managing participants are available for selection.

Select the company you have agreed on internally before submitting the request.

4. Submit your request

Submit the onboarding request after completing the required company data.

After submission, you will see a confirmation that your onboarding request has been sent.

5. Wait for request review

After submission, the request goes through two checks:

  • Cofinity-X reviews the request first

  • the selected managing participant then reviews the request

Your onboarding continues only if both checks are approved.

What to expect after submission

After you submit your request:

  • your request is reviewed by Cofinity-X

  • once approved, it becomes visible to the selected managing participant

  • the managing participant can accept or decline the request

  • if accepted, the managed relationship is established

After successful completion, the managing participant becomes responsible for centrally maintaining supported company data for your legal entity.

If your request is declined

If your request is not approved, the managed relationship is not created.

Currently, a managed relationship cannot be ended directly in the portal.
